Information We Collect
Beatra collects only the minimum data required to operate music playback, account security, and dashboard features. We apply data minimization, purpose limitation, and storage limitation principles across all regions.
Direct Collection:
- Discord User ID: For authentication and permission management
- Discord Server (Guild) IDs: Servers where the bot is installed
- Music playback history: Song titles, URLs, and requester information
- Voice channel connection data: For music playback functionality
- Playlist data: Custom playlists created by users
- Queue information: Current and upcoming songs in the queue
Note: We do NOT collect passwords, card/payment numbers, private Discord messages, or voice recordings. Support email is processed only when you contact us.
How We Use Your Information
We process collected data only for the following lawful service purposes:
- Provide core music playback, queue management, and bot reliability
- Enforce role-based permissions and secure access control
- Show now-playing, queue, and playlist state to authorized users
- Monitor service quality, prevent abuse, and improve stability
- Restore active sessions and playback state after restarts
- Store user playlists and privacy preferences
- Deliver premium entitlements, billing-state features, and support
- Investigate incidents, enforce security controls, and resolve support issues
Important: We do not sell personal data and do not use sensitive data for ad profiling.
Email communications and surveys
We may use the email address associated with your account or purchase to send service messages and, where permitted by law, relevant Beatra news, Premium offers, product research, and satisfaction surveys.
- Transactional messages may include receipts, security notices, subscription status, renewal, expiry, and support updates.
- Marketing messages may be personalized using your subscription relationship and Beatra usage, such as whether Premium is active or has not been renewed. We do not use sensitive data for this purpose.
- Survey invitations are optional. Choosing not to participate does not affect your account or service.
- Every promotional or survey email includes an unsubscribe link. Unsubscribing stops future marketing and survey emails, but essential service and legal messages may still be sent.
Data Storage and Security
We maintain layered technical and organizational security controls aligned with industry practices.
Storage & Protection:
- Database: Encrypted at rest and in transit with strict access boundaries
- Backup: Regional redundancy, disaster recovery, and integrity checks
- Session Data: Scoped session handling with automatic expiry
- Cache: Time-limited operational cache with automatic cleanup
- Access Control: Least-privilege access and administrative auditing
- Retention Controls: Periodic cleanup policies and deletion workflows
Third-Party Services & Data Sharing
Beatra integrates with third-party platforms. We do NOT share your personal data with these services, but they may collect data directly:

Your Rights Under Global Privacy Laws
Depending on your region, you may have rights under GDPR/UK GDPR, CCPA/CPRA, LGPD, PIPEDA, APPI, KVKK, PDPA, POPIA and related laws. Many of these rights can be exercised directly from your Privacy Settings page.

Request deletion of your data by removing the bot from your server, or delete data for a specific date range directly from your Privacy Settings

Request limitation of how we process your data, or use the visibility toggles in your Privacy Settings to control what is shown
Right to Data Portability
Request your data in a machine-readable format. Use the export feature in your Privacy Settings — a download link will be sent to your email
Right to Object
Stop using the service at any time, or use the visibility toggles in your Privacy Settings to limit how your data is shown

Cookies & Tracking
Beatra uses cookies on our web dashboard (beatra.app). For detailed information, read our Cookie Policy.
The Discord bot itself does NOT use cookies or tracking pixels.
Data Retention and Deletion
- Music Playback History: Automatically deleted 1 year after the play date
- Session Events: Automatically deleted 1 year after the session date
- Discord User/Guild Cache: Automatically deleted after 90 days of inactivity; Active Player State deleted after 7 days of inactivity
- Custom Playlists: Retained until the user deletes them
- Server & User Settings: Retained while the bot remains active in the server
- Server Removal Cleanup: If the bot is removed and not re-added within 7 days, ALL server data is permanently and automatically deleted — including server settings, music history, user statistics, and all related records
- Premium & Transaction Records: Retained permanently for legal and billing compliance
- System Logs: Retained for a maximum of 2 days for security monitoring
Data Breach & Security Incidents
In the unlikely event of a verified security incident affecting personal data:
- We will notify affected users within 72 hours (GDPR requirement)
- We will describe the nature of the breach and data affected
- We will provide recommendations for protecting your account
- We will cooperate with relevant authorities and regulators
Children's Privacy
Beatra is not intended for children under 13 years old. We do not knowingly collect data from children. If we become aware that a child under 13 has provided us with personal data, we will take steps to delete such information immediately.
Policy Updates
We update this policy when legal, technical, or operational requirements change, including cross-border compliance obligations.
